Driver compliance for hazmat haulage: the documents that expire
· 5 min read
Nobody fails a haulage audit because a document was never collected. They fail because a document was collected two years ago and expired eight months later, and the truck kept running.
Compliance in this industry is a date problem, not a filing problem.
The documents multiply faster than people expect
On the driver: licence, medical, defensive driving certification, journey and cargo permits, drug and alcohol screening, police verification. On the vehicle: fitness, route permits by jurisdiction, insurance, hydro tests and hose continuity and pressure tests, calibration.
- Each has its own renewal cycle
- Each is issued by a different authority
- Each can invalidate a journey on its own
A fleet of a few hundred vehicles and a few thousand drivers is therefore tracking tens of thousands of expiry dates. That is past the point where a spreadsheet is a reasonable answer.
Expiring soon is the only useful state
A system that tells you a document has expired has told you too late: the exposure already happened. The state that matters is expiring soon, surfaced on the list where dispatch actually looks, early enough that a renewal can be booked.
Onboarding is where the data quality is decided
Most fleets arrive with history in spreadsheets. If the import is a straight upload, the errors go in with it and every report afterwards inherits them. A validated, row-by-row preview with de-duplication before anything is committed is the difference between migrating records and migrating problems.
What this looks like in RT360
Every driver record holds licences, medicals, DDC and JCP, drug and alcohol and police verification dates, with expired and expiring-soon flags surfaced on the driver list rather than buried in the profile. Vehicles carry their own certifications on the same basis.
Existing fleets import from CSV with a validated preview before anything is saved. RT360 currently holds more than 3,000 drivers under compliance across client fleets.
